The True Cost of IT

Before considering any IT company, it is imperative that you understand the TRUE cost of your organization being down. It’s not the hourly fee charged by your IT guy. It’s the cost of your organization being down and being unable to generate revenue while you are still paying your employee’s to stand around! With this knowledge you will better understand your needs and the value of a good IT company. Like anything, you get what you pay for.

Hiring an IT Company

There are several things you need to consider when hiring an IT company. Will they just be fixing your computers or do they have the capacity to serve as a trusted advisor? An advisor understands your business and the true cost of being down. What services do they offer? Are their service offerings well thought out and all inclusive? How are they paid? Is it hourly when you’re down or are they paid a flat fee? Flat fee arrangements encourage performance and proactive thinking. Think about this, a Break/Fix company is rewarded by hourly fees when you are down. It’s not in their best interest to keep your systems running at peak performance. The break/fix option may seem cheaper up front but in the end it is always the most expensive option. The forward thinking business man understands this and acts on it. Now you know!

Narrowing the playing field

Ok, you understand the cost of being down and you’ve narrowed it down to a few companies that have true proactive flat fee offerings. Now what? Now it’s really time to really start digging in and analyzing the contenders. This industry is plagued with good intentioned individual technicians working out of the back of their trucks. If they’re good, they get busy and if they’re busy they just don’t have the resources to provide the proactive consulting services I’m talking about. There’s also a rash of companies out there claiming to be “Managed Service Providers” but really they’re Break/Fix companies just charging flat fees. Typically they claim to be providing the service but the reality is neglect. They won’t be in business long operating like this… So, what size is their company? Too big can be an issue also as they lose that personal touch. Will you have a dedicated account manager; will you have a primary engineer? How long have they been in business, how long have they been offering true flat fee services, can they provide references, is their engineering staff certified, what monitoring services do they offer, what investment have they made in their back office systems? This is a big one; do they have a help desk that can help you remotely or do you have to wait for a service call? Will they come on site if the problem can’t be fixed remotely or will they require you to be on the phone the entire time acting as their eyes and fingers? Typically you’ll uncover the rotten egg when you dig to this extent.

It’s who you know

Another important aspect to consider is the relationships the IT Company has developed with its vendors. Will they be able to get priority service when you need it? Let’s face it, the more an IT company sells the better service they get from their vendors. Example, if the company you choose is the top Dell reseller in the area, chances are they have some pretty good resources. Another new development in the industry is the relationship between the IT Company and the telecommunications company. It’s no secret that the smart IT companies are being paid a small residual to introduce their customer to a carrier. Contrary to the typical initial negative reaction, this is great for you! Think about it, they are standardizing their base on one carrier. This gives them leverage and efficiency. Don’t think for a minute that they’ll jeopardize their customer by introducing them to a bad carrier. So again, the more customers they have with that carrier, the better service they will be able to provide you!

Hardware as a Service

Does the candidate have flexible service plans and hardware offerings to fit your budget? Can they provide leasing options on the hardware? Fairly new to the industry is Hardware as a Service or HAAS. Besides the obvious cash flow benefit, many companies are forgoing capital investments where equipment is depreciated annually and opting instead to roll these expenses into their operating budgets where the expenses can be written off. Another hot topic is the Cloud. Make no mistake, the Cloud is the future. Does the candidate have a good understanding of the Cloud and its impact on your business?

This is a big decision and the stakes are high. We are all in business to make money. When you look at the businesses out there that are considered successful, they all have one thing in common, they didn’t take the cheap route when it came to their technology investment! They saw it as a tool and an asset. Get to it, you’ve got a decision to make!

As the New Year approaches it is a best practice for your business to prepare a budget for the 2012 year. As technology has become a major part of every business, those business are looking forward and using technology to grow their business are the ones that are going to survive in the technology driven world. There are many different things to consider when planning for your technology spending in 2012. Here are just a few areas that you should consider.

Infrastructure – A typical business infrastructure is made up of a combination of a few key components. Usually there is a central server that hosts your network control settings, applications such as your accounting system and things such as e-mail or some proprietory data base. Also included in the typical infrastructure are things such as PC’s, Thin Clients (dummy terminals), printers and such. And finally there is typically some kind of network equipment such as routers, firewalls and such.

Lifespan of your Infrastructure

They typical lifespan of a server or pc is in the 3 to 5 year range. Although it is possible to extend the life of these beyond the 3 to 5 year range, it is usually not recommended. Most major manufacturers only stock parts on their equipment and provide warranty support for 5 years. Beyond this point your equipment is a ticking time bomb and if something breaks the odds are you will need to replace it as the time spent on the equipment for service and repair will cost you more than the replacement value of it. Also due a fast changing technology world, the specifications of the older computers cannot keep up with the new operating systems and/or applications the need to run on the computers. This will cost you many times more the value of the equipment in low productivity of your employees. There is nothing worse than having an employee sitting around watching their computer because it has to few resources to run your business applications.

The same with your servers which at that 3 to 5 year mark begin to run down in resources and show a decreased ability to work with current applications. Also due to the increased risk of parts availability, you do not want to be stuck searching random web sites for parts for your server or cruising the shelves at Fry’s while your employees sit around with nothing to do!

Best practices are to plan on replacing your computers and servers every 3 years on a scheduled rotation so as to always have fresh technologies and current warranties in place.

To determine the current age of your computers, you can run the serial number of the computer against the manufacturer database and they will typically provide you with the original purchase date and or warranty expiration date of the computer. It is good to keep an asset list of all of your equipment in place and then you can filter by purchase date. This will give you a precise list of equipment needing to be replaced. If you have a good IT person or outsourced IT Company in place they will have this list already available. Remember when you are factoring your cost to include the labor cost of migrating to the new equipment. Typically, it will take between 1 and 3 hours to replace a PC depending you your applications and the complexity of your setup. A server replacement cost will vary widely depending y on the role of the server and the efficiency of your IT person. You will see a cost of somewhere between 15 to 30 hours of work to do a typical server migration.

Software Costs

Software – Another are to consider when you are planning your 2012 budget is your software costs for the year. This can be a variety of things from your proprietary software costs to your antivirus software on your PC’s. Because software is a major part of what we do and what allows your business to run, you do not want to neglect this area. A lot of business today will decline purchasing the updates, or paying for maintenance on their software due to the apparent cost of this service. The mistake here is that your software becomes quickly outdated and incompatible with hardware and other software applications, again ultimately hurting your employee’s ability to work efficiently. Software that is not being currently updated through ongoing R&D will very quickly become obsolete and outdated in today’s world.

Other types of software that require annual renewing are things such as antivirus software, backup software, etc. It is vital that this be renewed on either a monthly basis (Software as a Service – SAAS) or on an annual basis. It is becoming quite common today to us the SAAS model and pay a monthly subscription fee that allows your software to always stay up to date. This is an easier model for budgeting on a monthly basis. A good outsourced MSP will include these software subscriptions in their flat monthly service fees.

Budget for the The Cloud

Cloud – a somewhat new are in the IT world is the idea of cloud services. These are a variety of areas that you should consider in your 2012 budget. From offsite backup, to disaster recovery solution, to cloud servers. These are all becoming a big part of how business is being done in todays modern world.

When considering your cloud solutions, it is possible that you can choose a cloud solution that will eliminate some of your capital expenditures in the previous sections. For instance if your server needs to be replaced, it is worth your consideration of moving your applications to a cloud server where you simply attach to the server via a internet connection and pay a monthly fee to access this server in the cloud. This is especially helpful if your server is a dedicated server that is used strictly to run that application. This solves the problem of offsite storage of your data and most cloud providers have much more redundancies in place then you would have in a typical business environment.

If you have a small business and only use your server for file access, you might consider a cloud file service such as Egnyte that replaces a typical file server and allows you users to access their files from anywhere.

Service and Support

Service and Support – The final area of discussion for your 2012 budget is your IT services spending. If you currently are using an outsourced IT person, there are several things you need to consider.

First, do they offer a flat rate service program that allows you to budget you IT services spending for the year precisely. If they do not, and you are paying hourly, it is nearly impossible to plan on what you will spend. For instance if you are paying hourly and your server were to crash, you are going to have a large spike in your spending that will blow your budget for that month and possibly for the year. A good Managed Services IT company will offer a flat rate, everything included price that will allow you to budget.

Second, do they offer VCIO (Virtual Chief Information Officer) services to help you with your planning an budgeting for the year. This is a vital part of your business and something your would require of an employee if you staffed an IT person. By hiring a good Managed Service Provider that includes these services in their plan, they can help you with things such as inventory, software management as well as budgeting and business planning for the year.

These are just a few of the top things to consider when planning for the 2012 year. Only you as the business owner/operator know the specifics of what your needs will be. The most important thing is that you do plan and budget for these things. Remember that the true cost of your IT spending is tied not only to the cost of your IT services and hardware/software spending but is also tied directly to the productivity of your employees. Old, out of date technology can cost you significantly more than the replacement value of your current equipment.

Over the course of its relatively short life, the iPad has proven itself one of the most productive gadgets on the market today. However, this productivity could hardly be achieved on its own. The iPad owes its productivity potential in large part to the huge and ever increasing number of productivity apps that were made for it.

We have run through the rest to bring you the absolute best. And so now, without further ado, the top 10 iPad productivity apps on the market today.

10. Notes Plus

This is an app that is only available to iPad owners, and although you might not think that a notepad is the most difficult thing to simulate, you should try Notes Plus. First of all, you will think that you are writing on an actual notepad with the truthful looking lined paper, and it has just about the best mechanism for turning your finger drawings into words that is in any app. However, the add ons that you would not find in an analogue notepad are what set this app apart: the close up writing mode, the ability to add audio notes, vector editing, hideaway control set, and the ability to type and handwrite in the same document

9. Pages

The full featured word processor for the iPad has a completely intuitive interface with the ability for charts, tables and graphics. The app can share easily with Microsoft Word, the above mentioned Notes Plus, and the PDF document format. A highly usable, powerful word processor in a box for a great price.

8. PDF Reader Pro Edition

PDF is how the business documents of the world are shared, and the iPad app for reading them is also top notch. There are many ways to easily share the PDF format with this app, including, but not limited to email, iTunes, and through USB file transfer.

7. Things for iPad

This beautiful and intuitive program is an organizer’s dream, including features that allow a user to sort tasks and arrange lists into project forms. Tasks can be kept together like no other app out there, and it is easy to sync this app to the desktop version.

6. Evernote

The highly popular Evernote, with many votes for the best productivity app (which is also one of the top iPad 2 apps) is a notetaking application which modifies itself to your will. Want to take notes in audio? Evernote can do it. If you want to take notes in photos, it can do that too (as well as text, of course.) The app syncs seamlessly with Macs, PCs, and the Internet.

5. Desktop Connect

This is the app to have if you like remotely controlling your desktop or laptop computer from your iPad. Whether Windows or Linux, the Desktop Connect app can control it. You can fully browse the Internet, including Flash web sites, which is a step up for apps in general. It also automatically discovers a computer that is accessed in a network. Connecting is all that Desktop Connect does, and it does it with perfection.

4. Papers

One of the best apps for productivity when it comes to science is Papers, which allows scientists to organize their scientific papers in your personal library and also retrieve them from anywhere on the go. There are also many wide and deep scientific databases at your disposal, eight to be specific. These articles can also easily be shared with other iPads over Wifi.

3. iQue

iQue mimics the associative functions of the actual human brain to allow you to store and retrieve information more quickly. Even if you forget what you are looking for, this app can help you find it – it is actually better than a human brain because it literally can not forget (unless you drop your iPad into the lake!)

2. Deskpad

Office You can’t get tired of these post it notes, because you do not have to throw them away or remember if you have actually accomplished the task on them or not.

1. Office Squared

This is the fallback – very simply, this is Word and Excel on your iPad. There are better things than Microsoft, to be sure, but this is the standard.

It’s 5pm and I still have a mound of work to do. But, who is going to walk my dog, grocery shop, run that ebay package to the mail or pick up my tux for the wedding tomorrow? There are new sites popping up everywhere geared towards these small jobs, chores and tasks. It’s not just limited to personal chores, you can also outsource business tasks, such as writing this weeks blog, or researching your competition. Besides raising your children, the sky is the limit when it comes to outsourcing your life and business.

TaskRabbit.com

Located: Boston, SF Bay Area, New York City, Chicago, LA & OC
Task Rabbit is expanding faster than any other Task Site I’ve looked at. I heard an interview with the founder on the Foundation Podcast, and she said that they are looking to expand in bulk very soon. Task Rabbit has a very broad selection of Chores, Tasks and Errands, from Business Data Entry and office cleaning to food delivery and painting your dog house. They are definitely the one to watch. Task Rabbit actually screens their “rabbits” or runners, so your sure to get quality service.

Coffee & Power

Located: US
This is my personal favorite. They also have a brick and mortar coffee house where you can take jobs from a large screen monitor and do them right in the shop. They cover a broad spectrum of small jobs and errands but unlike task rabbit, this service is two sided, you can offer to do a job or you can hire someone else who has offered something you need done. Each time you buy a service or do a task, you hopefully get a “trust” from the person you did business with. All money is exchanged with credits, C&P cash, to reduce the chance of you getting ripped off.

Agent Anything

Located New York, New Jersey
Agent Anything is different because it targets a certain group to run the errands and jobs, namely university students. Agent Anything brings hard working business people and broke students together for one common purpose: Getting small jobs done. Maybe you have a pile of work to do and you need someone to run to the pharmacy to pick up your prevacid, or maybe you need your yard raked before the neighborhood committee send you a nasty letter.

Craigslist

You might have used Craigslist in the past to sell that old PC, but did you know it’s great for odd jobs and tasks? Craigslist does not have safety nets in place for payment processing like the three above. I feel much safer using TaskRabbit or Coffee & Power because of the rating systems and screening that you don’t find on Craigslist.

Ask Sunday

Located: online
This really does not belong on this list but I needed five and it’s a good outsourcing service. Ask Sunday will assign one personal assistant specifically to you so that they can learn your requirements, working style and outputs. This of course is a “virtual” assistant, so the tasks will have to be able to take place online. They charge by the hour. You buy a block of time and your assistant goes to work.

If you were to focus solely on the marketing, you would think that Blackberry holds a majority of business smartphone users, either that or the ubiquitous iPhone, right? Wrong. In the latest survey of business professionals taken by none other than Forbes magazine, the leader in business phone operating systems is the Google made Android, topping the list at 36% of business professionals.

With the rise in Android phones comes a subsequent rise in the business applications for the phone. Below are the top 5 business apps for Android, useful in any situation.

1. Currency Converter.

The Android currency converter is the number one app for international business travelers, especially with the current economic volatility that we are experiencing throughout the world. The Android app is a doozy, giving accurate up to the second exchange rates for the most types of currency of any app with its function. It has even been touted as good enough for a professional currency trader to use in place of an exchange platform in an pinch.

2. Adao Task Manager

We have all been caught in that situation – no charger or outlet, some important correspondence set to come in any minute, and the low or flashing battery bars on the phone are about to give you a heart attack. Give yourself a fighting chance with the Adao Task Manager. The Adao Task Manager can stop the programs running in the background of your Android one by one for more efficient use of your battery, especially in a tight spot. A must have for commuters and travelers in areas of low signal (that drains the battery more quickly, in case you did not know).

3. Open Manager

With Open Manager you are able to easily see which programs are running on your Android and which are not, you can attach files to an email, back up your applications, and perform various word processing techniques, such as copy / paste, cut / paste, search, delete, rename, even unzip files, all on an incredibly attractive viewscreen.

4. Open Office Document Reader

The Open Office Document Reader gives you the power to quickly view the documents that you have created in Libre Office or Open Office. The Open Office Document Reader is an especially quick and simple app, which can view all types of files, including but certainly not limited to .odt-files and .ods-files on Android, including Dropbox, File Expert, GMail, Box.net, ZumoDrive, ODF / OpenDocument, and EStrongs File Explorer.

5. Contacts Plus

With Contacts Plus, you have a simple and intuitive app which allows you to manage your contacts according to your profile. If you want to put your contacts in a different language, this is your app as well. It supports Czech, Swedish, and many other languages as well as English.

The first thing you will notice about OmniGraphSketcher is its clean “mac” like design. It was developed for the mac so you get that simple no nonsense layout and functionality. We’re going to look today at the iPad app and save the desktop app for another the day.

I think OmniGraphSketcher gets it’s name from the ability to just sketch a graph with your finger. Yes, usually you have data you want to graph, and we’ll get to that, but sometimes you just want a representative graph that just displays the general idea with basic numbers, but OmniGraph is also powerful in getting the exact values into your project after you’ve sketched it.

Your first Graph

When you open OmniGraph you have a blank screen with a x and y axis, which is the default for graphing. In the top right next to the info link, you’ll see two pencil icons, a free hand tool and an area tool. With these you can easily draw a graph with your finger. When you first draw the line, you’ll see that it is as shaky as your finger, but the application corrects this and smooths out the line automatically. You can also tap on the screen at different points and it will connect the dots and once again create a smooth graph. You might not want the lines smooth. You can change this in the info tab to hard straight lines.

Fine tuning the graph

Sometimes you want to be a little more precise and play by the numbers and OmniGraph is prepared to handle this. Once you have created your rough graph you can select one of the nodes on the line path, click the info tab, and enter an exact value for the node. Notice you can drag the nodes to a new area of the graph, this is helpful when visualizing your graph.

You may want to change the color of one of your lines to differentiate. This is easy to do, just go to the info tab in the right, select a color or create your own color. Here you can also change the look of the line, to arrows or dashed etc.

Label Your Graph

To label the nodes of your graph double click on a point and the keyboard will come up. The timing of the double click is strange, unlike a double click with a mouse, you have to click slow. You may have to play with it a little. You can also put a label anywhere you want, just double click on the screen and then drag your label into place.

Using the Area Tool

To color an area of the graph you will use the “area” pen tool next to the freehand tool. It’s kind of hard to explain it on paper, but it is pretty intuitive. Just select your starting point on a graph line, drag your finger, pause where you want an edge and drag again to a stopping place. The application will intelligently draw your area in alignment with the existing graph.

Playing with the canvas

To further manipulate your graph, you can adjust the canvas properties. You will first select the canvas itself then go to the info tab. There you will see many properties such as removing the numbers and making the background transparent for export into another application.

Exporting and Further Help

To get a real feel for what can be done with OmniGraphSketcher, take a look at the document, “Sprocket Supply and Demand,” that comes with the app. Here you will see all the various possibilities with lines and colored areas.

When you have you have your graph just how you like an are ready to export. Just go to the documents (button top left), slide to your document and select the familiar apple export icon. Here you have the option to send by mail, send PDF by mail or send to photos. If you want to transfer to keynote and you have set a transparent background, you have to send it as a PDF.

I just covered the basics in this article. You can also create bar graphs and more with OmniGraph, hopefully this helps get you started. You need further help, OmniGraphSketcher comes with great documentation and excellent support. You can get to this from the document screen by clicking the button on the top right.

Your probably on a social network now, Facebook or twitter, and know the basic ins and outs of the social universe when it comes to your personal life, but what you might not know is that these networks can increase your business’s bottom line.

The Social Search

Although Google Real Time, which allowed you to search twitter posts, has expired, you can be sure that searching will become a more social experience in the future. Even now something like word-of-mouth search (WOM) is gaining speed. Just think you’ve probably done it already on Facebook or twitter when you say something like, “anyone know a good Mexican restaurant on the south side?” More and more, people will be finding services through a social experience online. What does this mean to you? It means you need to be there when they come looking. At the very least you should secure your brand name on all the major social sites.

Social Marketing: Mind your P’s and Qs

Think of your social networking like a party you’ve been invited to by a friend. You don’t know anyone so you’re not going to walk around yapping and carrying on about your business or product… No, if you’ve got any social savvy, you’re just going to get to know people. Get to know someone and maybe pass your card after a conversation and say, “If you’re ever looking to buy a house, I’ll set you up”. You will be frowned on if you spam your product all over the place. Rather, work on getting a good name for yourself. You probably have information to share that’s relevant to your target market. Make sure you give back; it’s always nice to respond to other peoples posts. When someone’s looking to sell their house, someone that’s had good dealings with you will say, “Bob over there is a realtor and I really like him”.

Give them something they want to know

When you’re networking, it’s always good to have a relevant source of information available as often as possible. You want something that your customer might like to read. It’s best if you can send them to a blog that is a part of your main site. On that blog you can have advertisements or links within the blog post that direct them to your services…as long as it’s not spamy. You could also be an information miner, where you go digging through the thousands of blog posts in your niche and post the most relevant ones on your social network. People will begin to keep a close eye on your posts if they are always relevant and informative. When they least expect it, slip in some self-advertisement in a neutral informative way.

Never out of touch

Social Networking can also be a way for your existing clients to receive news, and updates. Let your customers @you on twitter and respond fast, publicly. This is good PR when you’re seen out in the open taking care of your customers. Hold contests for your followers and win new ones through re-tweets and word of mouth.

Your the Expert

Whatever you do in the social sphere, remember to be the expert! Wait, you are the expert… That’s why you have this business and serve your clients well. Don’t be afraid to share some of that wisdom you’ve learned. You’ll be surprised at how many people want to know what you know. You don’t have to give away trade secrets, but give away more than you want to. Information is the currency of the web, and the more you give, the more indispensable you will become to your niche. Make Google start to view you as an authority! For instance, if you’re a real estate agent, start a blog on common pitfalls in the housing industry. Tweet and Facebook every thought or bit of information with your followers around the world. Google will began to see you as an authority. When someone starts searching for a service, you’ll show up a little higher in the results because of your clout.

Social Networks will become the new search engine soon. So, it’s best to make peace and get involved!

I keep hearing quotes like, “It’s in the Cloud” or “Cloud Computing”… Is the Cloud for big business only or can I utilize the Cloud in my small business?

The term “Cloud” gets tossed around quite a bit these days and to say the term is vague would be the understatement of the century.. Many people use the term out of context just adding to the confusion surrounding the term “Cloud”.’

The most basic definition of the “Cloud” is any resource and/or application that is available on the Internet from just about any Internet connected device. Wikipedia defines Cloud Computing as Internet-based computing, whereby shared resources, software, and information are provided to computers and other devices on demand, like the electricity grid.

Truth be known, the Cloud can be as complicated or as simple as the business or individual needs it to be. You’ve probably already used a Cloud based application and didn’t even know it. Take Gmail, Yahoo, or even Hotmail for example, each of which are mail applications that reside on the Internet and are available from any Internet connected device. In contrast is POP mail which is accessed, downloaded from the server to your desktop, and then removed from the server.

In the broader sense, Cloud computing is described as any and all application or service hosted and run on servers connected to the Internet – These servers and applications are accessed by end users but do not have to be maintained or supported by end users.

The services provided are vast and range from the aforementioned webmail to Online File Serverotherwise be able to afford if they were to develop and deploy their own systems. An example of this would be Salesforce.com, a customer relationship management (CRM) application used by sales organizations all over the world. Not only is this more economical for users or companies in many cases, it also reduces the amount of computing horsepower needed. This is especially significant as more and more of our computing needs are being served by smaller and smaller devices such smartphones and tablets. services likeEgnyte, which lets you replace your local file server with a Cloud based file server. This service not only saves you from purchasing a server but it also saves you the headaches and costs associated with maintaining file servers.

In the SMB world Cloud computing allows companies to provide services they may not

Imagine a situation where, rather than running intensive applications like Photoshop or CAD programs on your personal computer, you upload your data to a Server in the cloud and it does all the work and returns to you a finished product. We are already seeing this with sites that will process your photos like Photoshop.com or provide you with an office suite that handles documents, spreadsheets, such as Google Docs.

In the end, “The Cloud” is simply The Internet. And as time marches forward more of what we do and how we do it will happen in The Cloud.
